How to Organize Your Projects

Learn how to create, manage, and organize projects using folders

Keeping your projects structured and organized is important.. Whether managing multiple projects, working across teams, or streamlining your workflow, folders help you stay organized and efficient.

This guide will cover everything you need to know about using folders, from creating and managing them to moving projects for better organization.


📂 Creating Folders & Subfolders

Folders allow you to group and structure your projects to fit your workflow.

You can:

✅ Use default folders (Pursuits, Scoping, Preliminary Design) to get started quickly.

Create custom folders that match your specific project needs.

Create subfolders within folders to categorize your work further.

How to create a folder:

  1. Go to the Projects page.

  2. Click the folder icon in the top-right corner of the panel, next to 'Projects'.

  3. Enter a name for your folder and choose its destination.

  4. Click “Create” to finalize.

📌 To create a subfolder: Simply navigate to an existing folder, select it, and follow the same steps to add a new folder inside.
📌Note: Folder nesting is limited to two levels.


🔹Only admins can create folders.
🔹You can delete the default folders if needed.



🛠 Managing Folders

Renaming Folders

If your project structure changes, you can easily rename folders to keep everything organized.

How to rename a folder:

  1. Locate the folder you want to rename.

  2. Click on the three-dot menu (⋮) next to the folder name.

  3. Select "Rename" and enter the new name.

  4. Click “Rename Folder” to apply the changes.

🔹Only admins can rename folders.


Deleting Folders

If a folder is no longer needed, you can delete it to keep your workspace tidy.

How to delete a folder:

  1. Click on the three-dot menu (⋮) next to the folder name.

  2. Select "Delete".

  3. If the folder contains projects, you’ll be prompted to either:

    • Move projects to another folder before deleting them.

    • Delete all projects within the folder.

  4. Confirm the deletion by clicking "Delete".

🔹Only admins can delete folders

📌 Important: Once deleted, a folder cannot be recovered. Make sure to move any important projects before proceeding.


Moving Folders

If you need to reorganize your workspace, you can now move folders to a different location within your project structure.


How to Move a Folder:

  1. Locate the folder you want to move in the Projects Panel.

  2. Click on the three-dot menu (⋮) next to the folder name.

  3. Select "Move Folder" from the options.

  4. Choose the destination folder where you want to move it.

  5. Click "Move" to confirm the change.

🔹Only admins can move folders

Drag-and-Drop Option: You can also simply drag a folder to a new location within the allowed folder hierarchy.


Moving Projects Between Folders

If a project needs to be moved, you can now reassign it to the correct folder with ease.

How to move a project:

  1. Find the project you want to move.

  2. Click on the three-dot menu (⋮) next to the project name.

  3. Click on the "Move to" option.

  4. Select the destination folder.

  5. Confirm the move.

🔹 Only admins and project owners can move projects.

💡 Drag-and-drop functionality is now available! Simply drag a project into a folder for a smoother experience.


🔎 Finding Folders Quickly

To help you locate the right folder without scrolling, you can use the Folder Search feature.

How to search for a folder:

  1. Click on the search bar.

  2. Type the folder name or keyword.

  3. Select the folder from the search results.

📌 Tip: If you're unsure of the folder name, try searching by project keywords.


📦 Bulk Project Organization

Need to move multiple projects at once? Bulk Project Organization allows you to efficiently manage large sets of projects.


How to Move Multiple Projects at Once (Bulk Project Organization):

  1. Hover over a project to reveal the selection checkbox.

  2. Click the checkbox to activate multi-selection mode.

  3. Select additional projects by checking the boxes next to them.

  4. Once multiple projects are selected, an actions menu will appear at the bottom of the panel.

  5. Click “Move” and choose the destination folder.

  6. Confirm the move, and your selected projects will be relocated instantly.
