How to Invite Teammates to 4M

Invite your teammates and assign the roles they need.

This guide will walk you through how to invite colleagues to 4Map and assign the correct permission levels to match their responsibilities.


Inviting Your Team to 4Map

You can invite your team to the platform in just a few clicks:


How to Invite Teammates:

  1. Click on your initials in the top-right corner of the screen to open your account menu.

  2. Select “Invite colleagues.”

  3. In the pop-up window, enter your teammates’ email addresses.

  4. Choose the appropriate role for each person from the drop-down list. Note that depending on their own role, users can only invite members to equal or lower roles.

  5. Click “Send invites” to send the invitations.


Assigning User Roles

Each user role comes with a specific set of permissions. Here’s a breakdown of what each role can do:

Role

Permissions

Admin

Full access. Can create, manage, delete, and view projects, order all data types, and manage users (add, remove, or change roles).

Project Purchaser

Can create and view projects, order Foundation and Validated Data, and invite users at the same or lower level.

Project Collaborator

Can create and view projects, order Foundation Data only, and invite users at the same or lower level.

Viewer

View-only access. Cannot create projects, order data, or invite users.

Guest

External users with view-only access to specific projects (no folder or org access).

Invite External Guests with Ease

Bringing in external reviewers or partners? Use the Guest role to provide secure, view-only access to a single project—without exposing other folders or organization-level data.

How to Share a Project with a Guest:

  1. Open the project you want to share.

  2. Click “Share” in the top-right corner.

  3. Enter the guest’s email address.

  4. Click “Share project”.

🔒 Guests will only see what you’ve explicitly shared—no risk of oversharing or unwanted access.
